How do I find undefined terms?

Open Compliance Scanner, select a space, and choose Scan Space. The scan checks accessible pages for uppercase acronyms and mixed-case tokens absent from the effective glossary's names and synonyms. Top Undefined Terms ranks candidates by affected pages and returned findings. Review each result before adding a space-scoped draft definition or assigning remediation.

How it works

  1. Open Compliance Scanner.
  2. Choose a space under Select Space to Scan.
  3. Select Scan Space.
  4. Wait for Scan Complete.
  5. Review Top Undefined Terms by Pages and Mentions.
  6. Open the page-level Undefined Term findings and read their context.
  7. Enter a definition and select Add Draft, or assign remediation with Acknowledge.
  8. Send every created draft through the normal term review workflow.

Example

A QUALITY page uses “CAPA” three times. CAPA is not a name or synonym in the effective glossary. The scanner creates one Undefined Term finding for that page. Its message records the three uses and includes nearby context. An administrator enters “Corrective and preventive action” under Definition... and selects Add Draft. The new QUALITY term remains a draft.

What this does not mean

Undefined-term detection is a conservative candidate search. It is not a complete language analysis. It does not flag every unknown phrase. It does not prove that a candidate needs governance. Existing draft, review, or deprecated entries are known to this detector and receive their own finding types when used. Review context before creating or closing work.
