Replace legal term spreadsheets with a controlled Confluence glossary
For lawyers and legal-ops teams who already maintain definitions in Excel, Google Sheets, SharePoint exports, or wiki tables, Compliance Glossary turns that vocabulary into an approved, source-backed Confluence workflow with scanner checks and CSV evidence.
Executive Summary
Legal teams do not need another disconnected glossary spreadsheet. They need one controlled place where approved wording, source links, owner review, and evidence live next to the policies and playbooks the business already reads.
Proposal: install Compliance Glossary for Confluence, import the legal team's current spreadsheet or wiki terminology, approve the first controlled vocabulary through a four-eyes review workflow, scan relevant Confluence spaces for drift, and export a CSV evidence package before the next vendor review, AI governance review, audit, board pack, or regulatory-change cycle.
Commercial fit: best for legal teams that already use Confluence as a policy, controls, product, privacy, vendor-review, or regulatory-change workspace. If the team's work lives only in a CLM, DMS, or eDiscovery system and Confluence is not used for legal operations, this is not the first tool to buy.
Why Spreadsheets and Wiki Pages Break Down
| Current method | What it is good for | Where legal loses control |
|---|---|---|
| Spreadsheet glossary | Drafting term lists, bulk editing, sorting by owner or regulation, preparing imports. | No live scan of policy pages, weak approval evidence, unclear latest version, and copy-paste drift into wiki pages. |
| Wiki table | Publishing context where product, compliance, security, and operations teams can read it. | Status, approval history, and required source links are usually informal. Deprecated wording can remain in old pages unnoticed. |
| Ad hoc legal comments | Fast review on one document or ticket. | The decision does not become reusable vocabulary. The next team asks the same question again. |
What Compliance Glossary Adds
Approved legal vocabulary
Terms move through draft, review, approved, and deprecated states, with a different reviewer required for approval.
Source-backed definitions
Each term can carry category, synonyms, notes, owner context, and source links from legal or regulatory materials.
Confluence scanner
The scanner reads Confluence pages and flags deprecated terms, unapproved terminology, and synonym violations without modifying page content.
CSV evidence export
Export current terms, version history, approval metadata, and glossary fields into CSV for legal operations, audit, and procurement evidence.
Use Cases for Lawyers
| Legal workflow | Typical terms to control | Where the app helps |
|---|---|---|
| AI governance and AI policy | AI system, high-risk AI system, provider, deployer, GPAI model, output, human oversight. | Create one source of approved definitions before teams reuse AI wording in policies, inventories, vendor reviews, and board materials. |
| Vendor and procurement review | subprocessor, ICT provider, security incident, audit right, data location, model provider, support SLA. | Keep commercial counsel, privacy, security, and procurement using the same vocabulary in Confluence-based review pages. |
| Regulatory change management | effective date, obligation owner, implementation status, evidence owner, control mapping, review cadence. | Turn a legal update memo into a controlled vocabulary that product and compliance teams can implement consistently. |
| Board and audit evidence | approved term, deprecated term, definition owner, approval date, evidence export, finding resolution. | Show who approved terminology, when it changed, and where Confluence content still uses unapproved or deprecated wording. |
Recommended Pilot
Start with one legal workflow, not the whole legal department. The best first pilot is a vocabulary set that already exists in a spreadsheet or wiki table and is currently reused by product, compliance, security, or procurement.
Pick one vocabulary set. AI governance terms, vendor-review terms, privacy/security terms, or regulatory-change terms.
Import the existing spreadsheet. Use CSV import for terms, definitions, categories, and synonyms. Imported terms start as drafts.
Run legal review. Move priority terms to review and approve them with a second reviewer for four-eyes control.
Scan the relevant Confluence space. Find pages that still use deprecated, unapproved, or synonym-only wording.
Export evidence. Generate CSV evidence for the approved vocabulary, version history, and approval chain.
Commercial Terms
| Item | Proposal |
|---|---|
| Buying path | Self-serve Atlassian Marketplace installation, billed through Atlassian. |
| Pricing | Procurement should use the live Atlassian Marketplace pricing tab as the controlling price source. |
| Pilot option | The live Marketplace listing describes an extended pilot option for selected compliance, QA, GRC, legal, security, and regulatory teams in exchange for one 2-hour working session with the primary day-to-day user. |

Security and Data Handling
Forge-native app
The Confluence app runs on Atlassian Forge infrastructure and does not operate a separate DailyMind application server for customer terminology data.
No external API calls from the app
The app manifest requests no external:fetch:backend permission, so app-side outbound HTTP calls are blocked by the Forge runtime.
Read-only page scanning
The scanner reads Confluence pages to detect terminology findings. It does not modify, delete, or rewrite customer pages.
Marketing-site scope note
This public website is separate from the installed Forge app and uses self-hosted, cookieless analytics. The app itself does not load marketing-site analytics.
What This Does Not Replace
It is a controlled vocabulary and evidence layer for Confluence. It helps legal teams reduce definition drift, document approval status, scan wiki content, and export terminology evidence. Legal conclusions, regulatory interpretation, and final policy ownership remain with the customer's counsel.
Copy-Ready Proposal Text
We propose piloting Compliance Glossary for Confluence with the legal operations team on one controlled vocabulary set currently maintained in spreadsheet or wiki format. The pilot will import existing terms, route priority definitions through a legal review workflow, scan selected Confluence spaces for terminology drift, and export CSV evidence showing approved terms, version history, and approval metadata. This gives Legal one source of controlled definitions without replacing Confluence, spreadsheets, CLM, or legal review. The app is installed from Atlassian Marketplace, runs on Atlassian Forge, and the scanner uses read-only access to Confluence pages.
Next Step
Use the free small-team tier to test one vocabulary set with real legal content. If the pilot exposes useful terminology drift or produces evidence your legal team wants to reuse, expand to the Confluence spaces where policies, vendor reviews, AI governance materials, and regulatory-change pages are maintained.
